As a Nurse, Program Specialist, or Qualified Intellectual Disabilities Professional (QIDP), you may share a caseload with another person in your county or region.
When multiple people are responsible for a single county, the electronic Incident Report (IR) is sent to everyone in the County. It is then each person's responsibility to respond to the incident reports related to their assigned caseload. This can result in additional emails cluttering your inbox, many of which you may not need.
To manage this, you can create a rule in Outlook that deletes any messages related to individuals who are not part of your caseload. Here’s how to it:
- Click the "Rules" button in the toolbar, then click "Manage Rules & Alerts."
- Click the "New Rule" button.
- Click “Move Messages from Someone to a Folder,” then click "Next."
- Checkmark the following items:
- From people or public group
- With specific words in the subject
- With specific words in the body
- Under Step 1, click the first blue link for “people or public group.”
- In the "From" field at the bottom, type the address: intellicloudicms@intellinetics.com and click "OK."
- Click the blue link labeled “specific words” in the subject field.
- Enter the subject "CRSI INCIDENT REVIEW," click the "Add" button, and click "OK".
- Click the blue link for “specific words” in the body.
- Enter the names of the individuals who are NOT in your care, then click Add. Be sure to enter their names exactly as they appear in the email; otherwise, the rule will not trigger. Once you have added all the names, click OK.
- Click the blue link for "move it to a specified folder."
- Click the "Deleted Items" folder and click "OK."
- After filling out all the information, click "Next."
- On the "What do you want to do with the message" screen, do nothing and click Next.
- On the Exceptions screen, do nothing and click "Next."
- On the Finish screen, check the box for "Run this rule now on messages already in Inbox" and click "Finish."
- If you have multiple rules configured in Outlook, it is recommended that you move this to the top of the list to make sure that another rule doesn't try to take action on a message that is destined for your Deleted Items folder.
This will help keep your inbox organized and ensure you only receive relevant information.
