Did you know that ordering toner cartridges for printers, fax machines, and copiers is handled differently based on the type of device? Here is a breakdown of each of the different ways toner gets to you and your printer.
Sharp & Lexmark Copier or HP Printer
Ordering is handled through our Automatic Toner Ordering system. Toner will be automatically shipped directly to the appropriate location. Here are some important tips:
- The copiers and printers are scanned once a day to determine toner levels. Please leave your copiers and printers powered on even during evenings and weekends.
- When the toner level hits 10% remaining life, an order is automatically placed on your behalf.
- All orders are delivered the next business day after the alert is received. Even if you’re low, you won’t have to wait long.
- You will never receive an invoice for toner. The IT department will receive and process any bills and we will charge it to the location code that corresponds with the printer.
- If you don’t receive your toner before running out, submit a request and let Technical Support know.
- A handful of machines are NOT enrolled in automatic toner ordering. If you have one of these devices, you will continue to order your toner through your office supply vendor.

Brother Fax Machine
Ordering is done by contacting whoever handles your Staples orders. Here are some important tips:
- There is nothing automatic about the fax machines. Designate a person, or two, in your home/office who will be the one to make the request.
- Be sure to order only genuine Brother brand cartridges and try to find the high-yield option. The larger cartridge may cost more at the moment, but the cost per page works out better in the long run. Think of it like buying toner in bulk!
